SAP Business One Credit Limits: Stop Shipping to Customers Who Don't Pay

Why Credit Limits Matter More Than You Think

Most distributors and manufacturers I work with treat credit limits like an afterthought. They set them once during the initial customer setup and then never look at them again. That is a mistake. When a customer exceeds their limit, SAP Business One can block new orders automatically. That one setting keeps your AR from turning into a charity operation.

I have watched companies ship product for months to customers who were already sixty days past due. The sales team keeps pushing because they need the revenue number. Finance stays quiet because nobody wants to be the bad guy. Meanwhile the warehouse is packing boxes for someone who has no intention of paying. A properly configured credit limit changes that conversation from “maybe we should stop” to “the system already stopped it.”

The best part is that once it is working, you stop having those awkward collection calls every Friday. The system does the heavy lifting. You just manage the exceptions.

How to Set Up Credit Limits in SAP Business One

Go to the Business Partner Master Data for the customer. On the Payment Terms tab you will see the Credit Limit field. Enter a number that makes sense based on their payment history, order size, and how much risk you are willing to take.

Next, decide how strict you want to be. In General Settings, on the BP tab, you turn on the credit limit check and choose what counts against it, like open orders and deliveries, not just invoices. I usually recommend including everything. That way the system sees the full picture before it lets another shipment go out.

Put a review date on your own calendar too. I like a once-a-year look at every big customer, so limits don't quietly go stale.

Do this for every active customer. It takes time the first round, but it is worth it. Start with your top twenty accounts by revenue. Get those right and you will already protect most of your exposure.

The Three Types of Customers Who Blow Past Limits

You will run into the same three profiles every time.

First is the “promising startup.” They order steadily, talk about big growth plans, then suddenly slow down on payments while still asking for more product. The credit limit catches them before the balance gets scary.

Second is the “old reliable who got sloppy.” This customer paid on time for years so you raised their limit without thinking. Then they hit cash flow trouble and started stretching. The system will flag them the first time they cross the line.

Third is the professional slow payer. They know exactly how much they can push before you cut them off. With clear limits in SAP Business One they hit the wall earlier and are forced to negotiate instead of stringing you along.

Once you see these patterns in your own data you stop taking it personally. It is just business. The software simply enforces the rules you already agreed to.

Blocking Shipments Without Killing Sales

The real power comes from pairing the limit with an approval procedure. Set the "Deviation from Credit Limit" approval term on deliveries, and anything over the line waits for a yes before it ships. Most of my clients put that block on the delivery. That way the order can still be entered and the salesperson can work with the customer on payment before anything leaves the warehouse.

Route those approvals to the credit manager or controller for a quick yes or no. That keeps the conversation inside your company instead of turning into another “we need to talk” email chain with the customer.

Train your sales team on what the block means. It is not punishment. It is protection. A good rep uses the block as leverage: “Hey, once we get that $8,400 caught up, the new order goes right out the door.”

Reporting That Actually Helps

SAP Business One has a few standard reports that make credit management easy. The Customer Receivables Aging report is your best friend. Run it weekly and you will see exactly who is approaching trouble.

The Customer Credit Limit Deviation report shows every customer who is currently over limit and by how much. Make it part of the accounting team's Monday morning routine. Nothing starts the week better than knowing exactly where the risk sits.

Create a simple dashboard that shows total AR over 60 days as a percentage of total AR. When that number keeps climbing, your credit limits need tightening.

  • Review top ten customers by overdue balance every week
  • Flag any customer who has been over limit twice in the last quarter
  • Adjust limits down for anyone who consistently pays in forty-five to sixty days

These small habits keep the whole process from becoming another thing everyone ignores.

If your SAP Business One setup needs a tune-up, here is how I help SAP Business One customers.

Real Talk From the Field

Here is the pattern I see over and over. One big customer makes up a scary share of monthly revenue. The owner loves the volume and hates the collection calls. Set a sensible limit, turn on the delivery block, and something funny happens. The customer starts paying on time, because now paying on time is how they get their next order.

The owner still sells to them. He just stops financing their entire operation.

The lesson is simple. Your sales team can still sell. Your warehouse can still ship. You just stop doing it for free.

Wrapping It Up

Credit limits are not about being mean to customers. They are about staying in business long enough to keep serving the ones who actually pay. SAP Business One gives you the tools. Most companies just never turn them on all the way.

Take one afternoon this week and review your top thirty customers. Set reasonable limits, turn on the blocks, and let the system do its job. You will sleep better, your cash flow will improve, and the chronic slow payers will either shape up or move on. Either outcome is better than shipping product you will never get paid for.

Frequently asked questions

Can I set different credit limits for different subsidiaries of the same customer in SAP Business One?

Yes. Treat each subsidiary as its own business partner with its own credit limit. This lets you control risk at the entity level instead of giving one big limit to the parent company. Most of the time the parent pays on time while one division drags their feet. Separate limits keep that division from hurting the rest of the relationship.

What happens when a customer hits their credit limit exactly on a new sales order?

The system will warn the user and, depending on your configuration, either block the order or require approval. You can still release the order manually after confirming payment or adjusting the limit. The goal is to force the conversation before product leaves the building.

Should we include open deliveries in the credit limit calculation?

I recommend yes. An open delivery is committed inventory and committed cash. Excluding it gives a false sense of available credit. Including everything gives the most accurate picture and prevents the surprise of a customer who looks fine on paper but already has two trucks worth of product sitting on the dock unpaid.

How often should we review and update customer credit limits?

Once a year for most accounts is enough. For your top ten or any customer who has been late more than once, review every six months. Put it on the calendar so it actually happens. A quick fifteen-minute look at payment trends prevents small problems from becoming large write-offs.
